questions regarding walk

When securing a walk site, some cities require a fee to be paid at the time of application. If a corporate sponsor can not be found to donate the fee for the walk site, are there any other options?

I have access to a banner maker (my dad) and a PR/Advertisting Firm (cousin) who may be able to assist in the PA area. Can you tell me if we have the okay to make banners and post fliers regarding the walk? The banner does not have to be made right away, but the fliers will help with getting the numbers up. Assuming the PF name, walk date, location, and "theme" will be posted on these. The purpose of fliers will be to advertise for walkers (at hospitals, drs office, etc).

Hi Kris,

Good questions! With regard to the fee required, just fax me a copy of the invoice or permit showing the amount due and who the check should be made payable to. Our fax number is (952) 252-8096. The fee will be subtracted from the revenue that comes in from the event. Ideally, if you are later able to find a sponsor to pay the fee, have them make the check payable to the PF and we will send them a tax-receipt.

Absolutely on the banners and fliers. Go right ahead. I am hoping to have the registration materials drafted this week.

Jamie, have you heard of www.active.com? I've donated there for Lymphoma/Leukemia Team in Training runs before, and it appears that they have some "free standard services," such as event detail pages, registration tracking and mailing lists. They also take online registration fees, although that part's not free, and I'm not sure how much they charge. It looks like a REALLY good resource and a possible answer to my earlier question about web pages for the individual walk sites.

Regarding the registration, what type of information should be get along with name, contact info, etc. (address, email ?) I figure that we will be able to compile a list and use that for future fund raising and the next walk, etc??

The questions from Georgia are neverending!

I'm filling out the Special Events Application for a local municipality. They need the "Official" name of the event. How close are we on this one?

Here are the specifications for the Insurance Policiy. I assume they aren't a problem (licensure and rating), but it's always a good idea to check: "A certificate of insurance is to be provided to the Special Events Director no less than thirty (30) days prior to the scheduled event. If an event is approved, it will be approved pending receipt of the insurance certificate. The insurance agency must be licensed to do business in the state of Georgia and have a Class B or better rating."

It looks like the prescribed 5K courses in this area all involve road closures. If it makes it easier, could we change the length of the walk to make it fit in a park? What about a 3K? It could be a "premature 5K." LOL I just don't know if it's worth the hasslesof road closures, EMTs, etc., for such a small event. Thoughts?

When do you need to know about all the shirts that are needed?
How do we pay for these? The $15 fee is just to walk then right?
How much additional will the T shirts cost each?
Do we have to turn in all the monies and registration forms by a certain date also?

I think Jaime needs final head count by 1 April. The $15 is for the walk AND shirt. The money and forms get collected by us coordinators and sent to Jamie after the walk. I don't know about additional shirts. I think she has some info stiky's under the walk-a-thon thread.
